Job Description

City Hearts are currently recruiting for a caseworker to work within the Anti-Trafficking Female Team of the organisation. This role will require the successful candidate to facilitate the smooth running of the project through effective organisation and implementation of office, staff, clients and financial administration responsibilities.

City Hearts was founded in 2005 with a mandate to fully restore those with a history of vulnerability and exploitation. We began with a single home to help women with life controlling issues and shortly after welcomed our first survivor of Modern Slavery. Since then we have expanded dramatically across multiple regions and now provide accommodation and outreach support to hundreds of survivors of modern slavery every year, as well as continuing to house and support women with life-controlling issues.

The Role:

· Client administration:

o Check, scan and label documents as needed.

o Input weekly client hours into system.

o Collate information as needed for reporting purposes.

o Supporting the Operations Coordinator with historical archiving systems

· Staff and volunteer administration:

o Input DBS’s - Submit, track and update spreadsheet.

o Data input into various spreadsheets including Holiday tracking and requests.

o Create staff and volunteer badges

o Tracking training of staff and maintaining records of this online and in staff files

o Filing staff, volunteer and client records in our online system.

· Office administration:

o Ordering stationery.

o Arranging meetings including finding and booking rooms

o Meeting and greeting visitors

o Tracking changes to key documents especially policies and procedures and ensuring they are up to date and staff have read through them.

o Manage basic IT requests for access, new accounts, and issue reports.

o Answering the phone and passing messages on to staff.

o Filing and archiving.

o Checking, scanning and distributing post

· Finance administration:

o Scan finance sheets at the end of the month.

o Basic petty cash management

o Expenses reimbursement,

o Updating petty cash sheets,

o Cheque reconciliation

o Credit card reconciliation.

o Preparing allowances for the clients and monitoring this

o Banking

o Collating information for month end reports as needed

o Liaising with head office as needed.

o Safe access and reconciliation.
